Privacy Policy
Big Shoulders Digital Video Productions (“Big Shoulders,” “we,” “us”) runs the Big Shoulders Production Board at board.bigshoulders.com, including the crew portal. We use it to schedule productions and to work with our staff and freelance crew. This policy explains what personal information we collect through the Production Board and our text messages, how we use it, and who we share it with.
SMS consent is not shared with third parties or affiliates. We never sell, rent or share mobile phone numbers or text-messaging opt-in data and consent with third parties or affiliates for their marketing or promotional purposes.
What personal information we collect
- Contact details: your name, email address and mobile phone number, and your role or department (for example, camera or audio).
- Account information: the email address you sign in with and your access level. Sign-in uses a one-time code sent by email, or a Microsoft work account for Big Shoulders staff. We don't store passwords.
- Scheduling information: the jobs and days you're booked on or asked about, your answers (available, not available, confirmed), time off you mark, and the call sheets you open.
- Messages and files: notes and questions you post on a call sheet, and files shared with you.
- Hours and expenses: start and end times and meal breaks you report, expenses, and the receipt photos or PDFs you upload.
- Text-messaging preferences: whether you have agreed to receive text messages, when, and how (in the crew portal or by telling a scheduler), plus the delivery status of texts we send you.
- Payment details for freelancers: the rates agreed with you. These are visible only to our schedulers, administrators and accounting team.
- Technical information: basic records our hosting providers keep to run and secure the service, such as when you signed in.
How we use personal information
- To schedule productions, book crew and check availability.
- To send you call sheets, availability requests, booking confirmations and release notices by email, and by text message if you've agreed to texts.
- To let you sign in and see your own schedule and the call sheets for jobs you're working.
- To process the hours and expenses you report, reimburse expenses and pay freelancers.
- To answer your questions and keep the service secure and working.
We do not use your information for advertising, and we do not sell it.
Who we share personal information with
- Other people on the same job: crew working a job can see the call sheet, which lists the confirmed crew for their days with names, roles, call times and phone numbers, and notes posted on that call sheet.
- Big Shoulders staff: our staff can see the schedule. Rates, reported hours, expenses and receipts are limited to schedulers, administrators and our accounting team.
- Service providers who run the Production Board for us, only as needed to provide it, under their own privacy and security commitments:
- Supabase: database, sign-in and file storage
- Cloudflare: website hosting
- Resend: email delivery
- Twilio: text-message delivery
- Microsoft: sign-in for Big Shoulders staff accounts
- When required by law, or to protect the rights and safety of our people and others.
SMS consent is not shared with third parties. Mobile numbers and text-messaging opt-in information are used only to send you the messages described in our SMS Terms. They are never shared with third parties or affiliates for marketing or promotional purposes. The service providers above handle that information only to deliver our messages.
Text messages (SMS)
If you agree to receive texts, we send scheduling messages about Big Shoulders productions: call sheet updates, availability requests, booking confirmations and release notices. Message frequency varies. Message and data rates may apply. Reply STOP to any message to opt out, or HELP for help. You can also turn texts off at any time in the crew portal. See our SMS Terms for details.
How long we keep information
Scheduling history, emails sent, call sheet notes and read records are kept for about two years. Reported hours, expenses and receipts are kept as long as we need them for our financial records. People records stay on file while you work with us; ask us if you'd like yours removed.
Security
Access to the Production Board requires sign-in, and each person sees only what their role allows. Files and receipts are stored privately and opened through short-lived links. No system is perfectly secure, but we work to protect your information.
Your choices
- Turn text messages on or off in the crew portal, or reply STOP to any text.
- Ask us to see, correct or delete your personal information by emailing scheduling@bigshoulders.com.
Children
The Production Board is for adult staff and crew. We don't knowingly collect information from children under 13.
Changes
We may update this policy. We'll change the effective date above when we do, and tell crew about significant changes.
